Room and Table Reservations

Housing and Residential Services is excited to host your student organization or department meeting in one of our select meeting rooms. We ask that you adhere to the following policies:

  • Your meeting must be contained in the space you have requested and cannot promote an open-door atmosphere-style event or allow participants to congregate outside the designated space.
  • You may not bring in any equipment to amplify sound/music in the requested space.
  • No outside food is permitted in residence hall meeting spaces. Any food brought in has to be purchased and provided by Campus Dining.
  • Fronting is not allowed. Fronting is defined as an eligible campus-based user, student organization, or individual reserving a space for another person or group. Misrepresentation of the identity of the true client for any reason is prohibited and may result in fees, possible loss of future scheduling privileges and/or student conduct referrals.
  • Transparency/full disclosure of event activity is critical to event success. While we respect your privacy, full disclosure of event details and plans are necessary to ensure appropriate assignment of space, event support, and usage of space. Failure to fully disclose event activity may result in additional clean up fees, possible loss of future scheduling privileges and/or student conduct referrals for the registered student organization.

Room Reservation Form

Tabling location requests are limited to Neptune Central Lobby, Stevenson Concourse and the Patterson Community Center pending availability on the date requested.

Tabling is reserved for NIU registered student organizations (in good standing) or NIU Departments. If you are interested in placing a tabling request, please complete the tabling request form.

Meeting Space locations will be setup in classroom style seating. If your membership chooses to move tables and chairs, we just ask that you move the room back to the same configuration as when you first entered. Lastly, your advisor must be present the entirety of your meeting.

Groups must fill out the Qualtrics form in its entirety. Missing organizational roster, incomplete information, or lack of advisor information will result in the request being denied.

Only organizational meetings will be approved. Socials, recruitment events, or other programs will not be accepted.

Meeting Space requests are limited to Grant D Formal, Stevenson MPR, Stevenson Smart Classroom, and Stevenson North and South Fishbowls.

Meeting Rooms are reservable during the hours of 4:30PM until 10PM for student organizations.
